The submissions inbox
Read, filter, archive, export and delete form submissions, and send a submission to Shopify Flow again.
Every stored submission is listed on the Submissions page, newest first. It works like an inbox: new submissions stand out, you can mark them read or archive them, and you can export or delete them.
The list
Each row shows when the submission was received, its status, the form, the visitor (Logged-in customer or Guest) and the language it was sent in. Submitted values are not shown in the list; open a submission to read them.
Filters
| Filter | Options |
|---|---|
| Form | All forms or one form |
| Status | All statuses, Sent to Flow or Not sent to Flow |
| Inbox | Inbox (new and read) (the default), New, Read, Archived, or All, including archived |
| Period | All time, or the last 7, 30 or 90 days |
Two kinds of status
A submission has an inbox status and a Flow status. They are independent.
Inbox status is yours to manage:
- New - not opened yet.
- Read - opening a submission marks it as read.
- Archived - out of the default inbox view, but kept.
Flow status tells you whether Shopify Flow accepted it:
- Sent to Flow - the Form submitted trigger was started.
- Not sent to Flow - Shopify Flow did not accept the submission. It is stored anyway, and its page shows the reason.
- Received - stored, not handed to Flow yet.
Open a submission
A submission's page shows the Values the visitor sent and the Details: when it was received, its status, the customer ID for a logged-in customer, and the language. From there you can:
- Send to Flow again - starts the Form submitted trigger again for this submission, for example after fixing a workflow.
- Archive, Move back to inbox, or mark it as new.
- Open the form it belongs to.
- Delete it. The submitted values are deleted for good. Workflows that already ran are not affected.
Bulk actions
Select rows (or Select all on this page) to Mark as read, Mark as new, Archive or Delete several submissions at once. Deleting removes the values for good, including their metaobject copies.
Every change of the inbox status can start a workflow with the Form submission status changed trigger. See Shopify Flow triggers.
Export CSV
Export CSV downloads the submissions under the current filters, with their values:
- One row per submission: Submission ID, Submitted at, Form, Inbox, Flow, Language and Customer ID, then one column per field handle of the forms in the export.
- Values of fields that are no longer on the form end up in an Other values column as JSON.
- Up to 10,000 submissions per export. Narrow the filters (one form, a period) for larger inboxes.
- Values that could be read as a formula by a spreadsheet are neutralised.
The file contains what your visitors entered. Treat it as personal data.
How submissions are stored
- Submitted values are stored encrypted.
- A submission keeps its values even if the form or a field is deleted later.
- Submissions stay until you delete them. Only stored submissions count toward your plan. See Plans and pricing.
Not sent to Flow?
The home page lists submissions that were Not sent to Flow in the selected period. Common reasons:
- Shopify Flow is not installed, or no workflow uses the trigger yet.
- The submission is too large: Shopify Flow refuses a trigger payload of 50,000 bytes or more. Such a submission is stored and marked as not sent.
Fix the cause, then use Send to Flow again.
Next steps
- Shopify Flow triggers - the triggers and their variables.
- Save submissions as metaobjects - a copy of each submission in Shopify.
- Spam protection - what never reaches the inbox.
